About linking a meeting with a team

If the meeting is scheduled via RingCentral Video, the RingCentral mobile app allows you to easily and quickly contact the meeting participants before or after a meeting. By linking your video meetings with teams, you can directly send a message to the related group of people. This keeps your meeting and team communications organized in one place.

You can either create a new team with which to link your meeting or use an existing team. Let’s review how you can link your meeting with a team.

Linking a meeting with new a team

To link a meeting with a new team, follow these steps:
1. Navigate to Video via the bottom menu bar
2. Tap the three-dot icon at far right of the scheduled meeting
3. Tap Link with team
4. Tap Create new team
5. On the Create team page, configure the team details (more on this below)
6. Tap the check mark at top right to finish creating the team

Configuring team details when linking a meeting

Now that we’ve reviewed the steps for linking a meeting with a new team in the RingCentral mobile app, let’s review the settings you can configure when linking a meeting with a new team using RingCentral Video.
• Team name: Defaults to the meeting title. You can change the team name if you want
• Team type: Tap to choose from the following options: 
○ Private (invite only): Not visible to other RingCentral app users that are not members of the team. RingCentral app users will need to be invited to a private team, and they will be unable to search for this team if they have not been invited
○ Public (visible to any co-worker): Anyone can join without an invitation and anyone can find the team via search or the Contacts menu
• Members: Autofills with the names of the meeting participants. To add a member, tap the Members field, type in the name of the user, and select their name from a dropdown list or enter an email address in this field

Linking a meeting with an existing team

To link a meeting with an existing team, follow these steps:
1. Navigate to Video via the bottom menu bar
2. Tap the three-dot icon at far right of the scheduled meeting
3. Tap Link with team
4. Tap Use existing team
5. On the Use existing team page, type the team name on the search bar or browse through the suggested teams
6. Tap the name of the team with which you want to link the meeting 
Note that you can link a meeting with any team you’re a member of, even if you’re not the one who scheduled the meeting or an admin of that team.

Sending a message to a linked meeting

Once you’ve linked your meeting with a team, you can start sending a message to the meeting participants directly from the scheduled meeting. To do this follow these steps:
1. Navigate to Video via the bottom menu bar
2. Tap the three-dot icon at far right of the scheduled meeting that you’ve linked with a team
3. Tap Message team to be directed to the message thread of the team in the Message interface of the RingCentral mobile app
